Overview
The Peterborough Family Health Team (PFHT) is seeking a dedicated Medical Office Assistant (MOA) to support the Unattached Patient Clinics. Reporting to the Patient Services Supervisor, the MOA serves as the first point of contact for patients and plays a key role within a collaborative, multi-disciplinary team of Interprofessional Healthcare Providers. This team includes Physicians, Nurse Practitioners, and Registered Practical Nurses.
This is a permanent, full-time position (1.0 FTE; 37.5 hours per week) based in Peterborough, Ontario.
Responsibilities
Working with patients in a health care setting, the person in this role:
- Respond to high volumes of incoming calls from people seeking episodic care; triage inquiries and schedule appointments in accordance with clinic protocols and prioritization guidelines
- Schedule and coordinate all patient appointments using the electronic medical record (EMR)
- Greet patients upon arrival and promptly notify the clinician (e.g., RPN, NP, physician) of their arrival
- Provide administrative support to clinicians in their day-to-day operations and patient care activities
- Verify and update patient information and OHIP eligibility
- Support new patient intake and orientation to clinic policies
- Support preventative care and recall processes
- Completes reminder calls to patients as required/requested
- Performs a variety of confidential and non-confidential administrative and clerical duties, including but not limited to word processing, scheduling meetings, relaying messages, processing mail, faxing, and data entry
- Maintains inventory of office supplies and supports RPNs in maintenance of medical supplies
- Attends internal team meetings and organizational PFHT meetings as required
- Participates in problem-solving to enhance patient care
- Provide coverage and support for other administrative roles within the organization or team members during absences, breaks, or periods of high workload, as needed
- Contribute to a safe and inclusive environment
- Maintain confidentiality and patient privacy
- Performs other duties as assigned
Qualifications
- Post-secondary education in a related field such as business administration OR completion of Medical Secretary Course (medical terminology, pharmacology) OR Diploma in Practical Nursing
- Demonstrated effective verbal and written communication, interpersonal and public relations and problem-solving skills
- Demonstrated proficiency in computer applications, including Windows operating systems, Microsoft Office Suite (Word, Excel, Outlook, etc.), email communication, and internet research
- Previous medical office experience preferred
- Previous experience with Electronic Medical Records preferred
- Experience in telephone triage and booking appointments, preferably in a family medicine practice
- Ability to set priorities and organize work accordingly in a busy office setting with multiple professionals
